PRIVACY & COOKIES
How we handle your information, and the choices you have.
Last updated: 7 October 2026
This notice explains how we handle information when you contact UNIQ X, plan or join an experience, use our website or receive updates. It also explains your choices and how to contact us about your privacy.
1. WHO IS RESPONSIBLE
UNIQ X is operated by UNIQ X GLOBAL LIMITED, company number 15611757, registered in England and Wales. Our registered office is 2nd Floor Medway Bridge House, 1-8 Fairmeadow, Maidstone, Kent, United Kingdom, ME14 1JP.
We are the data controller where we decide why and how personal information is used for UNIQ X. Our management team handles privacy enquiries at info@uniqxadventures.com. You can also write to our registered office, marked “Privacy”.
The shared UNIQ Snowsports and UNIQ X mailing list is managed by UNIQ SNOWSPORTS LIMITED, company number 12929291, whose registered office is the same address above. The companies are separate legal entities. Section 5 explains the mailing list.
2. INFORMATION WE USE
Depending on your enquiry or experience, we collect and use:
Contact and enquiry details: your name, email, telephone number, preferences and correspondence.
Booking and travel details: participant names, dates of birth, ski ability, accommodation and rooming preferences, travel arrangements, passport details and insurance information relevant to the arrangements.
Participation and support information: emergency contacts, medical conditions, dietary requirements and other needs relevant to your participation.
Payment records: invoices, amounts paid, payment status, refunds and transaction references.
Coaching and media: skiing footage, photographs, coaching feedback, testimonials and CARV information used during coaching.
Communications and website information: subscription choices, permissions and information generated by the technologies described in section 9.
Information may come from you, a parent or guardian, lead booker, corporate organiser, booking partner or supplier involved in your arrangements. If you provide someone else’s details, please make them aware of this notice. This does not replace any information we must give them directly.
We take bookings involving children and use their information for the relevant arrangements and support. An adult’s booking does not provide permission to use a child’s information for every purpose.
3. WHY WE USE INFORMATION
Our lawful basis depends on the purpose and your relationship with us:
Enquiries and bookings with you: taking steps at your request before a contract, and performing our contract with you.
Arrangements where another person or company is the contracting customer: our legitimate interests in coordinating and delivering the agreed experience, balanced against each participant’s rights.
Payments and accounting: performing the relevant contract and meeting legal obligations to maintain required business and tax records.
Questions, complaints and claims: our legitimate interests in resolving concerns, establishing what happened and protecting legal rights, or a specific legal obligation where one applies.
Health information, coaching, marketing and website technologies: the purposes and choices described below.
You can contact us about uses based on legitimate interests or object for reasons relating to your circumstances. If information is needed for a particular service, we will explain the practical consequence if you choose not to provide it.
4. HEALTH AND SUPPORT NEEDS
Medical conditions and some dietary or access information can reveal sensitive information about health or beliefs. We use relevant details to consider participation and support needs, coordinate suitable arrangements and communicate what the relevant supplier needs to know.
Please contact us before sending detailed medical records or passport copies through a general enquiry form so we can discuss what your arrangements require.
We collect these details through booking forms or follow-up arrangements. Our routine use of health information relies on consent as the general lawful basis and explicit consent as the additional condition for sensitive information. The request must explain what information will be used, why and who needs to receive it. Accepting general booking terms or supplying medical details does not, by itself, provide explicit consent.
You can withdraw consent by contacting info@uniqxadventures.com. If particular information is necessary to arrange your participation safely, we will explain the practical effect and discuss available alternatives. Consent arrangements for children must take account of their understanding and, where appropriate, a person with parental responsibility.
A separate legal condition may permit necessary use for a legal claim or, in an emergency, to protect vital interests where the person cannot consent. Such use is limited to the circumstances in which the relevant legal conditions apply.
5. THE SHARED UNIQ MAILING LIST
UNIQ SNOWSPORTS LIMITED manages the shared mailing list for UNIQ Snowsports and UNIQ X news. It uses Squarespace Email Campaigns for subscriptions and newsletters.
The signup embedded on this website is hosted on the UNIQ Snowsports website. Details submitted through it go to that signup service. The wording shown when you subscribe explains the permission you are giving. This notice does not widen an existing subscription or replace that permission.
Squarespace Email Campaigns includes analytics that can record email opens through a small invisible image and record clicks on campaign links. These features provide information about delivery and engagement. Blocking remote images in your email application can limit open tracking, although it does not necessarily prevent link-click tracking.
To ask about your subscription, contact info@uniqsnowsports.com. You can unsubscribe using the link in a marketing email. A booking or enquiry is separate from joining the mailing list, and unsubscribing does not cancel your booking or prevent essential service messages.
6. COACHING FOOTAGE, CARV AND PUBLICITY
Coaching footage is stored in private individual folders on Dropbox. CARV information is analysed on your phone or an instructor’s phone, depending on your preference.
We ask guests to opt in to photographs and video at the time of booking. Your permission applies to the purposes explained when you opt in. Permission for coaching does not automatically authorise advertising, social media or other promotional use. Permission concerning a child must take account of their age and understanding and, where appropriate, be given by a person with parental responsibility.
We use CARV information to provide the coaching arranged with you, relying on the relevant coaching contract or the legitimate interests described in section 3 where someone else made the booking. CARV also has its own terms and privacy information for its service.
You can withdraw permission for consent-based use by contacting info@uniqxadventures.com. This does not affect the lawfulness of earlier use. We will stop the use covered by the withdrawal and explain any separate lawful reason for retaining a limited record.
7. SHARING AND INTERNATIONAL ARRANGEMENTS
We share information relevant to an experience with the accommodation providers, guides, instructors, transfer companies, trip partners and other suppliers involved. Each supplier receives the information relevant to its role. Some providers act as independent data controllers for their own services and explain those uses in their own privacy notices.
We use Squarespace for the website and email campaigns, Microsoft Excel for administration, Xero for accounting, Stripe and Square for payments, and Dropbox for file storage. Provider roles depend on the service. Payment providers also process transaction information for their own payment, security and regulatory purposes.
Information may also be disclosed where law requires it or where necessary to obtain professional advice, address an insurance matter or establish, exercise or defend legal rights. Disclosures must have an appropriate purpose and lawful basis.
Overseas experiences can involve suppliers in your destination country, and technology providers may process information outside the UK. UK rules require an appropriate legal route for restricted international transfers. A transfer may qualify under UK adequacy regulations; otherwise, appropriate safeguards, such as approved contractual terms, or a specific legal exception are needed. These routes depend on the recipient and circumstances. You can contact info@uniqxadventures.com for information about the destinations, recipients and any safeguards relevant to your arrangements.
8. HOW LONG INFORMATION IS KEPT
Our current standard retention period is seven years from the date a record is first saved. This applies to our records generally, including enquiries, booking and payment records, participant information, medical and dietary details, passport and insurance information, and photographs and coaching footage where collected.
This is our current administrative retention period, not a legal requirement to keep every type of information for seven years. Information must not be kept longer than necessary for its purpose. Your data-protection rights may require earlier deletion or restriction. A specific legal obligation, complaint or claim may justify keeping particular relevant records for longer.
You can contact info@uniqxadventures.com to ask about a record, request deletion or challenge its retention. We will assess the request against the purpose for retaining the information and applicable legal requirements. Retaining a record does not permit marketing after you have unsubscribed or withdrawn consent.
9. COOKIES AND WEBSITE SERVICES
This website uses Squarespace. Cookies and similar technologies can support site functions, remember choices and measure website use. Our Squarespace cookie banner provides ACCEPT, DECLINE and MANAGE choices. Squarespace is configured to restrict its non-essential cookies unless accepted. You can use the COOKIE PREFERENCES control on the website at any time to review your choices.
Some pages include external services. The newsletter form is embedded from the UNIQ Snowsports website. The clinic enquiry form uses Google reCAPTCHA Enterprise to help protect against spam, fraud and abuse. This service processes browser and interaction information, with Google acting as a data processor for the service. Its operation is separate from Squarespace’s own cookie settings. The newsletter service is described in section 5.
Browser settings can also remove or restrict stored cookies, although some features may work differently. Links to Instagram, Facebook and LinkedIn take you to services with their own privacy and cookie information.
10. YOUR CHOICES AND RIGHTS
Depending on the information, lawful basis and applicable exceptions, you can ask to access or correct your information, have it erased, restrict its use, or receive and transfer certain information in a portable form. Where a use relies on consent, you can withdraw that consent at any time. Withdrawal does not make earlier lawful use unlawful.
You can object at any time to use of your information for direct marketing. You can also object, for reasons relating to your circumstances, to uses based on legitimate interests. Different rules apply to those objections.
Contact info@uniqxadventures.com to exercise a right. We may need enough information to verify your identity and understand your request. We will explain any applicable limitation and respond within the legally required time.
11. PRIVACY QUESTIONS AND COMPLAINTS
Our management team handles privacy concerns. Email info@uniqxadventures.com or write to our registered office, marked “Privacy complaint”, explaining your concern and how we can contact you.
We will acknowledge a data protection complaint within 30 days, investigate without undue delay and keep you informed of progress and the outcome. You also have the right to complain to the Information Commissioner’s Office. Contacting us does not remove that right.
12. CHANGES TO THIS NOTICE
We will update this notice when our practices or relevant requirements change and show the latest update date above. Where required, we will explain a material new use before it starts and seek consent where that is the appropriate basis. Updating this page does not retrospectively create permission.
